Title: start with the customer’s question: “How to export workspace data.”
One-sentence answer: give the direct outcome first. “Workspace owners can export data from Settings → Data → Export.”
Before you begin: list required plan, role, device, or information. If there are no prerequisites, say so.
Steps: use numbered actions, one action per line. Include the stable UI label and a screenshot where users could get lost.
Expected result: explain what happens after the last step and how long a background process takes.
If it does not work: cover the two or three common blockers. Link to deeper troubleshooting rather than burying every edge case.
Contact support when: state the boundary, such as a lost owner account.
Why this works
Customers skim when they are blocked. The direct answer confirms they are in the right place; prerequisites stop impossible steps; expected results prevent duplicate tickets while work completes. The same shape also makes articles easier to search and easier to use as sources for an AI help center.
Keep it current
Assign an owner for each product area. Update the article in the same release checklist when a UI or policy changes. Begin with the ten questions your team answers most often, then use unanswered questions to choose the next article.
